The following information explains the approach and provides template materials the Fair Play team uses when planning for a workshop.

  1. Decide event logistics.
  • Set a date, time and location for the workshop.
    • The workshop should be 3 hours in length, however, if you plan to serve lunch or breakfast 3.5 hours will be needed.
  • Estimate the number of participants.
    • We suggest a minimum of 10 participants and a maximum of 40 participants.
  • Reserve the venue for the workshop.
    • The room setup should encourage small group discussions rather than a lecture setup.
  • Discuss food and refreshment options.
    • Typically, when doing a workshop, we offer breakfast, snacks, and refreshments or lunch depending on the timing.
  1. Recruit Participants.
  • Organize a contact list of invitees or assist the institution you are working with in organizing a list.
  • Create a QR code or link to a Google form or Qualtrics survey for registration.
    • Determine what information you would like to collect from participants before the workshop (name, preferred email, institution, role, etc).
  • Send out recruitment email with QR code/link.
    • A template workshop flyer is available in the appendix for your use for both workshops.
  • Post flyers/posters if applicable. If possible, publicize on websites, social media forums, etc., where it may reach your intended audience.
  1. Plan and Prepare for the workshop.
  • Review the goals and potential applications of Fair Play.
  • Review and edit agenda.
    • Template agendas are included in the appendix.
  • Identify and document the goals and central purpose of your specific event, considering the needs of your group.
    • Select research based on your participants group and event goals.
  • Review presentation slides and selected research.
  1. Send email to participants.
  • Using participant emails provided at registration email the participants 2-3 days prior to the workshop with important information regarding the workshop details.
    • Template emails are included in the appendix.
    • Make sure to include download instructions for Fair Play and encourage participants to download the game before the workshop.
    • Make sure to list the appropriate devices and materials participants should bring for an optimal workshop experience.
    • Provide your contact information for participants if they have trouble downloading the game.
  • Create a sign-in sheet for the workshop.
    • A template sign in sheet is included in appendix.
  • Review the information gathered from the registration survey to determine specifics about your group of participants; institutions, departments, and roles. Make sure your selected research aligns with the final participant group and overall workshop goals.
  1. Day prior to event: Prepare for conducting workshop.
  • Review the PPT and research you’ve chosen for the workshop.
  • Make sure all handbooks are printed or digitally distributed for the workshop.
  • Take an inventory of all materials needed and gather any additional materials.
    • An inventory template is included in the appendix.
  1. Day of event: Prepare for conducting the workshop.
  • If possible, organize the room to promote small group discussion.
  • Place cardstock and markers on tables for participants to create name tents.
  • Create a sign-in table with the sign-in sheet.
  • Make sure the first slide of the PPT is projected on the screen.
  • Optional:
    • If possible, make sure you have a few extra devices with Fair Play downloaded and ready for participant use.
    • If possible, have splicers on hand so participants can share devices if needed while playing the game.
    • Place extra writing utensils and post-it’s in the center of the tables.
    • Plug in power strips near tables for participant use.
